Overview

The One IT Working Groups bring together students, faculty, staff, researchers, and IT professionals from across UCLA to shape the future of campus technology. Working Groups provide insights and recommendations to guide:

  • Shape the future model for One IT to deliver specialized and shared services that advance academic excellence, research innovation, and student success while maximizing efficiency and security
  • Recommend and identify new capabilities, services, and products to strengthen the IT ecosystem
  • Define approaches that promote service continuity and provide a consistent, reliable experience for the campus community

Each group focuses on a distinct aspect of campus experience ensuring that design decisions, service models, and priorities are informed by diverse expertise and local experience.

Working Groups provide insights and recommendations to guide:

  • Shape Future Models for One IT to deliver specialized and shared services that advance academic excellence, research innovation, and student success while maximizing efficiency and security
  • Recommend and identify new capabilities, services, and products to strengthen the IT ecosystem
  • Define approaches that promote service continuity and provide a consistent, reliable experience for the campus community

Format

  • Working Groups are organized into three categories: Constituent Outcomes, Campus Capabilities, and Technology Capabilities, ensuring representation across all areas of the university.
  • Each has two co-leads (A ITUL or designee and a DTS Senior Leader).
  • Working groups are responsible for meeting weekly and share status updates regularly on progress. Draft recommendations will be shared for further input before final submission.

Deliverables

The working group will produce a written report to be submitted to the EVCP and CIO.

The report should include comprehensive findings detailing:

  • Key digital experiences and priority pain points across roles
  • Equity and accessibility assessment
  • Clearly distinguish evidence-based findings from assumptions or judgment calls
  • Present alternatives when consensus is not possible

A set of actionable recommendations aligned with One IT goals and UCLA’s strategic priorities, Including:

  • Proposed service improvements and integration priorities
  • Suggestions for resource alignment and investment to address mission-critical needs
  • Recommendations for governance, communication, and support pathways that enhance end-to-end digital experiences
  • Clearly indicate what action or decision is being requested

Constituent Outcomes

Purpose

In support of One IT’s unified vision and UCLA’s Strategic Plan, the Student Experience Working Group will examine and elevate lived digital experiences that enable students, faculty, staff, and researchers to succeed across the full academic lifecycle. The group will assess how technology is actually experienced in practice, supports key processes, uncover friction points and inequities as encountered by users, and recommend concrete improvements that align with strategic priorities including shared responsibility for digital and cyber risk, accessibility, equity, innovation, and operational efficiency.

The Student Experience Working Group is charged with examining and advancing the end-to-end user centered digital experiences that support students from prospective to alumni.

Scope of Work

The working group will focus on the integrated digital experiences that comprise the student journey and broader academic lifecycle, from discovery and onboarding through instruction, research, advising, assessment, graduation, and ongoing engagement.  With attention to how individuals move across systems, roles, and moments over time.

Contribute domain expertise on local workflows, activities, and data use to ensure digital and cyber risks are surfaced early and intentionally built into One IT recommendations, standards, and solution designs. Engage in the responsible use of digital tools, protect credentials and institutional data, and incorporate security-aware practices into daily work without creating unnecessary friction for users, as a shared responsibility within the One IT ecosystem.
